IMPORTANT NOTE:

This year, the Used book sale will be under new management, and we are doing our best to increase security. Although CHEA is not responsible for missing or stolen items, we are doing our very best to ensure a secure atmosphere in the Used book sale area. Therefore, no attendees will be allowed into the Used Book Sale after the close of the sale until the close of the evening keynote, around 9:30 pm. ONLY our staff will be allowed in the room, repacking all leftover items. Please pray with us that we have a pleasant Used book sale this year, with no adverse incidents.

USED BOOK SALE GUIDELINES

Updated Spring, 2010

BUYERS’ GUIDELINES:

1.         Sale will open at posted time ONLY.  Absolutely no early entrance or early sales.

2.         Attendees will be given entrance numbers. This number is good for ALL members of your party (spouse and children). They must be listed on your registration form, and must be paid attendees for Friday. You should arrive at the Used Book Sale in the Westlake Room (lower level) only 10-15 minutes prior to the opening time listed on your entrance number. We will then line you up in numerical order.

3.         In the interest of safety, we do not allow strollers into the Used Book Sale.

4.         Please do not bring in large bags or large purses. Wisconsin CHEA staff reserves the right to inspect all bags, boxes, and/or purses of those leaving the sale, if we find it necessary.

5.         You will be able to use empty boxes or large bags available at the checkout tables for your purchases.

6.         Remember- we accept CASH ONLY as payment for all items at the Used Book Sale. No personal checks or credit cards accepted. So, please be prepared ahead of time for this. There is an ATM machine on the main level of the Olympia, in the café.

7.         When you are allowed in, you may stay as long as you like. We will close the Used Book Sale promptly at 5:30 p.m.

8.         We ask that you conduct yourself in a friendly manner in the Used Book Sale. Please be kind to others. When you look at something, we ask that you please put it back where you found it, as we do place items in categories for your convenience. If a post-it note falls off when you are looking at something, please replace it. Regarding full sets, we ask that you DO NOT OPEN these. The paper on the outside of the box or bag will describe everything in the package. If you wish to see the condition of the items inside we ask that you take the set to our staff at the tables, and they will open it for you to allow you to look inside. If you have any questions on anything at the sale, please ask a staff member. They will be wearing name tags with ribbons on them.

9.         Remember that since you must be a paid attendee for Friday in order to participate in the Used Book Sale, the checkers will ask to see your FRIDAY NAME TAG AND BRACELET. Anyone not having these items will be sent back to CHEA’s main registration table in order to pay the one day fee. IF YOU ARE NOT A PAID ATTENDEE FOR FRIDAY’S CONFERENCE, THEN YOU MAY NOT PARTICIPATE IN THE USED BOOK SALE. When you are finished shopping, please proceed to one of the lines of checkers. They will then run a tape on your purchases, and when this is done, they will have you proceed to one of the tables set up to take your payment.

10.       Wisconsin CHEA is not responsible for any lost or stolen items, or any dissatisfaction with any purchase made at the Used Book Sale. Remember ALL SALES ARE FINAL.  NO RETURNS ACCEPTED.

SELLER’S GUIDELINES:

We welcome you as a seller at our annual statewide Used Book Sale. Please follow these simple guidelines:

1.         If you have been a seller over the past two years and already have been assigned a seller’s number, you will be getting an email from Jan in the month of April asking if you will again be selling items at the Used Book Sale. You will be asked to respond to this email within 10 days in order to keep your number. If you do not respond, you will be taken off the list, and someone else will be assigned your number. Therefore, PLEASE RESPOND TO THIS EMAIL PROMPTLY. If you have not provided us with an email address, of course, then we cannot email you. Therefore, if you do not receive this email by April 30, please contact Jan at CHEA to find out if your number is still active.

2.         If you have not been a seller over the past two years, you will need to get a seller’s number. Please email Jan at jang@wisconsinchea.com or call 414-425-6324 to ask for a seller’s number. EVERYONE SELLING ITEMS AT THE USED BOOK SALE MUST HAVE A SELLER’S NUMBER.

3.         Once you have secured your seller’s number, you will use this number on your post-it notes (for each individual item) and on your boxes and/or pails containing your items. You will use this number to sign up when you drop off your boxes, and when you pick up your payment on Saturday.

4.         To prepare your items for the sale, please use ONLY post-it notes. On the post-it note, please write your seller’s number in a clearly visible location, your name, and the price you are asking for the item. You may also put other information on the note, such as title, description, etc. On books, please place the post-it note on the inside front cover ONLY. On boxes or large items, you may place it anywhere in plan sight- top of the item is best. Please use only UP TO TWO extra pieces of tape to secure the post-it note. DO NOT put tape around all four sides of the post-it note. It is very difficult to remove.  If you are writing an original price and your asking price, such as “Math Grade 4—originally $25; asking $15,” we ask that you write your asking price in MUCH LARGER print than the original price, so that it is clear which of the two prices you are charging. Note on pricing: Remember that CHEA subtracts 15% of your price from the sale, for our costs. Plan accordingly. If your item is in perfect or near perfect shape, you may want to charge 50%-60% of the regular sale price. Older and only fair condition items are usually priced lower.

5.         When you are finished pricing all of your items, you will want to pack them in sturdy boxes or plastic pails. On the box/pail, please put your seller’s number and name. We ask that your sort your box/pail in the following fashion, and label them in the following categories: 1) Art and Music; 2) Computer books/curriculum; 3) Math;            4) Science/Health; 5) History/Geography; 6) Bible/Religion; 7) Reading Curriculum; 8) Literature/ Reading books; 9) English and Spelling; 10) Computer software; 11) Tapes and CD’s; 12) DVD’s and Videos; 13) Games & Toys; 14)Foreign Languages; 15) Preschool items; 16) Full Sets; 17) Miscellaneous; and 18) FREE items.  Some categories may overlap; therefore we leave it to you to choose which box/pail to place an item in. For instance, you may have the Moody Science videos. You may place these in either the DVD/Video category, or in the Science category.

PREFERRED METHOD OF PACKING:

Here is the preferred method, which allows the customers to see your items to their best advantage. If you are packing books, the best containers to use are small boxes, such as the boxes used for computer paper. You should pack your books into a box that size, binding side up, so that our staff can simply flip the entire box on its bottom, with the book bindings facing out. This is a great way for the customers to see your items in an organized and clear fashion. After packing, you may put a lid on with the information described above, or if you choose not to put a lid on, you may simply put that information on the side of the box that would be facing up when we place your box on a table.

OTHER NOTES ON PACKING:

Of course, with games and toys, and odd-sized items, you will not be able to use the above method of packing, so please use any sturdy box or pail, such as the Rubbermaid pails.

If you end up with only a few items in any of the above categories, please do not feel you have to have one box for just a few items. In that case, you may place all of those items together in one box, and mark the box with your name and seller’s number, and just write “Mixed” on top. Our staff will then separate your items into the proper categories.

6.         FULL SETS—There are times when you wish to sell a full set of something- such as encyclopedias, a full 3rd grade curriculum, etc. For these items, gather them all together and count them. Then, please place a post-it note on each item (inside front cover if it is a book; on top if it is a box) with ONLY your name, your seller’s number and the following “1 of 3,” “2 of 3,” etc. PLEASE DO NOT PUT THE PRICE OF THE FULL SET ON THESE SLIPS. We want only the seller’s name and number and count of each item. Then, please place each item in either a Ziploc bag, or a box, and seal it well. If the items are small or thin, you may even place them together in a stack, and rubber band them a few times horizontally and a few times vertically. On the outside of your box, bag or stack, you may use a larger piece of paper rather than a post-it note. On this paper, list your name, your seller’s number and the selling price. Also, put the words SOLD AS A FULL SET ONLY, then a detailed list of what’s included in the package. Make sure you also list how many items are in the package.

EXAMPLE OF A SLIP ON THE OUTSIDE OF A FULL SET:

Seller’s Name, Seller’s number, SET OF BOB JONES READING CURRICULUM; 3RD GRADE. Asking $80. SOLD AS A FULL SET ONLY.  Set includes: Teacher’s Guide, Student hardcover textbook, Student soft cover workbooks 1 and 2. 4 items total in this set.

7.         You must be a PAID ATTENDEE on Friday in order to sell items at our Used Book Sale. You must have someone who is responsible to both drop off boxes/pails in the morning, and someone to pick up the leftovers on Friday evening. You must be a PAID ATTENDEE on Saturday if you wish to get paid on Saturday. You may have someone else, who is a PAID ATTENDEE on Saturday pick up your payment for you, but you must note that on the sign up sheet on Friday morning, and they will be responsible for picking up your payment on Saturday.

8.         You may bring your boxes/pails to the Used Book Sale in the Westlake Room in the lower level on Friday morning, at 8 a.m. Please drop them off no later than 11 a.m. Please be sure to sign the sign-in sheet at the front entrance before leaving the boxes/pails.

9.         After the Friday evening keynote (approximately 9:30 p.m.), you will be allowed to come back down to the Used Book Sale to pick up your unsold items. We will have repacked for you, and they will be on the tables at that time in order to be picked up by you. Remember, NO ONE WILL BE ALLOWED IN THE USED BOOK SALE EARLIER THAN AT THE END OF THE EVENING KEYNOTE. WE WILL NOT HAVE YOUR ITEMS READY FOR PICK UP UNTIL THEN. Also, if you forget to pick up your items, Wisconsin CHEA is not responsible for what happens to them. Since we use that room for workshops on Saturday, they may very well be thrown in the dumpster. So, be sure to pick up your items on Friday night, before you leave.

10.       Your payment (your sales minus the 15% CHEA handling fee) will be ready for pickup on Saturday afternoon, usually after 3:00 p.m. You may pick up your envelope at the Registration table after this time on Saturday. Again, remember that you must be a paid attendee for Saturday in order to pick up your payment. You will be asked to show your name tag/entrance bracelet in order to pick up your money. If you will not be there on Saturday to pick up your payment, we will be glad to send you a check in the mail. Be sure to note this on the sign-up sheet on Friday morning when you drop off your books, because we will need your full address to send your payment out. Please allow 6-8 weeks for payment to be mailed.

IMPORTANT NOTE ON PAYMENTS:

We ask that you remember that we are a staff of all volunteers. Our Used Book Sale ladies work long, hard hours at the Used Book Sale, and after it is over, handling hundreds of seller’s payments is a HUGE job. Many of our ladies do not get to sleep until the VERY WEE hours of the morning on Saturday. They must separate all post-it notes, put them in piles by name/seller number, and then they must calculate the amount that was sold for each seller. They then subtract out CHEA’s 15% handling fee, and arrive at the total due to the seller. Then, they must count out the money, and put it in each seller’s envelope for them.

Regarding calculations, we have quite a few women using adding machines, running tapes on the sellers’ post-it notes. Our staff has this policy:  They will run the tape on each seller’s items a MINIMUM of three times, until they come up with the SAME TOTAL AT LEAST TWO TIMES. This is done by at least TWO DIFFERENT staff members, to assure accuracy.

Therefore, OUR FINAL TOTALS WILL BE FINAL. When you receive your payment, you do get a copy of your tape, so that you can see the totals that were run. We will not honor any requests to go over the tapes again. The final amount we arrive at, that you are paid is FINAL.

Again, we do the best we can, but, unfortunately in today’s world, anything can happen.  Therefore, Wisconsin CHEA and its staff are not responsible for any lost or stolen items at the Used Book Sale, or any items that were disposed of after closing on Friday night. Over the many years we have provided this Used Book Sale as a service to the home schoolers of WI, with hundreds of sellers, thousands of buyers, and tens of thousands of items, we have really only had a very small handful of problems. We are proud of our ministry, and proud of our staff. We ask that you understand that we are all only human, and we do the very best we can. We hope to continue to bring this used book sale back year after year as a service to the home school community. We ask that you continue to remember CHEA, staff, and volunteers in your prayers continually. Thank you!!

THAT’S IT!!

We thank you for participating in our annual Used Book Sale. We hope you have a profitable sale!!
